Privacy Policy
Effective 26 August 2026What SuperAxe collects, why, and what you can do about it — written for gym owners, their staff, and their members.
1. What this policy covers
This policy explains what personal information Superaxe LLC ("SuperAxe", "we") collects when you use the SuperAxe gym-management service, why we collect it, and what you can do about it.
Two kinds of people use SuperAxe: gym staff, who sign in to the application, and gym members, whose records the gym keeps in it. For members' records, the gym decides what is collected and why; we process that information on the gym's behalf. For staff accounts and for anything we collect about how the application is used, we decide.
2. Information we collect
Staff accounts: your name, email address, password (stored only as a hash), profile photo if you add one, your role at the gym, and the sign-in method you use.
Member records, entered by the gym: name, contact details, membership and plan, attendance and check-ins, bookings, notes staff write, billing history, and payment status. If a gym takes card payments, the card is stored by Stripe, not by us — we keep only a reference to it and the last four digits.
Public forms: a prospect who fills in a gym's join form gives the gym their name and contact details and, optionally, what they are interested in.
Usage information: pages visited, actions taken, the time they happened, browser type, and IP address. We use this to keep the Service secure and to understand what is being used.
3. How we use it
- to run the Service — sign you in, show the gym its records, send the messages the gym has switched on;
- to record who did what, so a gym can see its own history and we can investigate problems;
- to keep the Service secure, including rate-limiting, fraud checks, and abuse detection;
- to improve the Service, using aggregated statistics that do not identify a gym or a person;
- to meet legal obligations, such as keeping financial records.
We do not sell personal information, and we do not use members' records for advertising.
4. Who we share it with
We use a small number of service providers to run SuperAxe: cloud hosting and database providers, Stripe for payments, an email delivery provider for messages the gym sends, and error-monitoring tools. Each processes information only on our instructions and under contract.
Within a gym, staff see member records according to the role the owner gives them. We do not share one gym's data with another gym.
We disclose information where the law requires it, or to protect the rights and safety of our users, the public, or SuperAxe.
5. How long we keep it
A gym's records stay for as long as the gym's workspace is open. When a workspace closes we delete its data within 90 days, except financial records we must keep by law. Backups roll off on their own schedule after that.
Usage logs are kept for up to 12 months.
6. Security
Every gym's data is isolated from every other gym's at the database level. Connections are encrypted in transit; data is encrypted at rest. Access to production systems is limited to the people who need it to run the Service.
No system is perfectly secure. If we discover a breach affecting your information we will tell the gym without undue delay, and the gym is responsible for telling its members.
7. Your rights
Depending on where you live you may have the right to see the personal information we hold about you, to correct it, to have it deleted, to receive a copy of it, or to object to how it is used.
If you are gym staff, most of this you can do yourself from your profile. If you are a gym member, contact your gym first — the gym holds your record and can update or delete it. If you cannot reach the gym, contact us and we will help.
8. Cookies
We use cookies only to keep you signed in and to remember which gym you are working in. We do not use advertising or tracking cookies.
9. Children
SuperAxe accounts are for adults working at a gym. Gyms may keep records of members under 18 where a parent or guardian has agreed; the gym is responsible for obtaining that agreement.
10. Changes and contact
We may update this policy. If a change matters to you we will tell you inside the Service or by email before it takes effect.
